Bulk Hose Order Inspection Checklist for Wholesale Buyers

A satisfactory sample does not automatically confirm that a bulk hose order is ready to ship. For importers and distributors, the inspection needs to connect the approved specification to the actual production lot, packing list and shipment. A blue hose of the correct nominal size can still have the wrong construction, roll length or marking.
Use this checklist to agree on the evidence you need before shipment. It applies to purchasing discussions for PVC layflat, steel wire suction and reinforced hose; acceptance limits must be set for the specific product and application.
1. Freeze the specification before production
Keep one approved specification revision with the purchase order. Link the approval sample and artwork to that revision so the factory, inspector and receiving warehouse use the same reference. Record required values and tolerances, rather than descriptions such as “heavy duty” alone.

2. Agree on sampling before the inspection
Define the lot, sample selection and acceptance rules before anyone inspects the goods. There is no single sample quantity suitable for every hose order. Requirements can differ by product, application and customer specification; reviewing a few supplier-selected photos is not equivalent to a documented sampling inspection.
- Select and identify samples from the agreed production lot and record their roll or package numbers.
- Measure dimensions and length using the agreed method, recording actual results alongside tolerances.
- Check the sampled hose for visible damage, contamination, irregular reinforcement and incorrect printing.
- Keep labeled photographs and results linked to the purchase order, specification revision and lot number.
3. Match performance evidence to the hose being shipped
A report is useful only when its product identification, test conditions and date can be connected to the supplied construction. Check the test method, sample identifiers, acceptance requirement and measured result. Distinguish working pressure, proof testing and burst testing: they are not interchangeable ratings.
ISO 1402 addresses hydrostatic test methods for rubber and plastics hoses and assemblies. Refer to the applicable product specification for the acceptance limits. Pressure tests require trained personnel and suitable protected equipment; this checklist is not a test procedure.
For suction service, confirm the required vacuum and temperature conditions separately. A pressure test alone does not establish vacuum suitability. Similarly, appearance or a general factory certificate does not establish suitability for a specific chemical or regulated application; request product-specific evidence when it is required.
4. Reconcile the hose, packaging and shipping documents
Pre-shipment checks commonly cover quality, quantity, marking, packing and loading, as described by SGS. For a mixed hose order, reconcile each product code separately so a correct total roll count does not hide the wrong assortment.
- Match roll quantities and lengths by product code to the purchase order and packing list.
- Confirm the approved printing, size, batch identification and destination labels on sampled packages.
- Check that packaging protects the hose ends and surfaces and follows the agreed packing instructions.
- Record package numbers, condition and loading evidence so the receiving warehouse can trace the shipment.
5. Close deviations before authorizing shipment
Record each deviation with the affected lot, measured result, agreed requirement and supporting evidence. Keep affected goods identifiable while the buyer and supplier decide on correction, replacement or a documented concession. Recheck corrected items against the original acceptance criteria and record who authorized release. A verbal “acceptable” should not replace that decision record.

Frequently asked questions
Is an approved sample enough to release a bulk order?
It is an important reference, but it does not establish that the shipment matches it. The agreed inspection must connect the actual production lot to the specification, required test evidence and packing documents.
Can a heavier hose be assumed to have a higher pressure rating?
No. Weight can help check consistency against an agreed specification, but material, reinforcement, construction and test conditions also matter. Use the specified rating and supporting test evidence rather than weight alone.
Should every order use the same inspection limits?
No. Agree on limits and sampling for the product, application and customer requirements. Keep those decisions in the purchase specification, and confirm any changes before the next production lot.
